CAE Programs Manager

The Center for Arts Education (CAE) works to ensure that students in New York City receive quality arts instruction as part of their K-12 education, through programs that focus on arts education, student and parent engagement, professional development, and career exploration. CAE has recently merged with Partnership with Children (PWC), one of New York City’s largest providers of community school programs and school-based mental health services. CAE and PWC’s programs and approach are rooted in an understanding of the impact of trauma on children, a steadfast commitment to antiracism, and expertise in children’s social-emotional wellbeing. 

Position Title: CAE Programs Manager 
Reports to: CAE Senior Program Director 
Schedule/Hours: Full-time: Monday-Friday, 35 hour work week. Occasional evenings and weekends. 
Start Date: Immediate start 
Location: Fully remote at this time; eventually based out of PWC/CAE main office in Manhattan 

Job Description: 

CAE is seeking a motivated, flexible and positive individual to manage a variety of programs at an exciting crossroads for the organization. The right candidate will be passionate about arts education, social-emotional learning, and social justice, and excited to join the organization during this transitional period, with the opportunity to help shape the future of CAE and its joint vision and programs with PWC. 

Responsibilities

  • Provide support to Senior Program Director to identify, research, and assess the fit of potential program opportunities. Assist with funding applications and RFPs as needed. 

  • Collaborate with Senior Program Director to manage relationships with Teaching Artists (TAs), provide training and Professional Development for TAs, and identify and audition new TAs as needed. 

  • Prepare and manage various program budgets according to CAE and funder specifications. Track program expenses within identified budgets and communicate with Finance on progress and projections. 

  • Manage planning and implementation of various school-based arts programming. This includes: 

    • Determine program design specifics, depending on program 

    • Coordinate program scheduling and logistics with school partners and TAs 

    • Manage Teaching Artist roster, identify appropriate TAs for each program; collaborate with HR to hire and orient TAs 

    • Develop, prepare and distribute program materials 

    • Coordinate and support TAs; review and approve TA timesheets 

    • Collect and track proper records for all programs, such a lesson plans, attendance, media consent forms, pictures of documentation, etc. 

    • Oversee purchasing and delivery of program supplies 

    • Manage ongoing relationships with school partners 

    • Creation and tracking of MOUs, work orders, and invoices as required 

    • Problem solve and troubleshoot as necessary to ensure successful program implementation 

  • Lead the Career Development Program, an innovative program for high school seniors which places them in creative industry internships after an intensive “Boot Camp” class led by CAE. Program work includes: 

    • Communicate with partner schools and worksite mentors about program schedule and expectations; build and manage these relationships throughout the program. Occasionally attend external programming with partner organizations to build symbiotic, sustainable relationships. 

    • Through interview process, select the CDP student cohort each year. Ensure all necessary paperwork and permissions are in place. 

    • Lead “Boot Camp” and Friday Feedback sessions for students in collaboration with other CAE staff. Plan and deliver educational content for students and oversee logistics, such as supplies and food. 

    • Provide opportunities throughout the program for students to experience the arts community in New York City through field trips, performances, guest speakers, and other opportunities. 

    • Coordinate student worksite interviews and placements, and conduct site visits and check-ins to ensure successful internship experiences for both students and worksites. 

    • Oversee the tracking of student timesheets and processing of stipend checks. 

    • Collaborate on the planning and implementation of CDP graduation ceremony. 

    • Assist in development and management of CDP Alumni Network. 

  • Organize and complete site visits for programs. Document programs with photos and videos for Development and Communications purposes. 

  • Work with Development Department on reporting program metrics and narratives to funders or for promotional purposes. 

  • Collaborate with Development Department to identify and/or create content for social media, fundraising newsletters and emails, and other marketing or promotional needs. 

  • Other tasks as needed, including: preparing meeting notes and minutes; assisting with other programmatic data collection; assisting with planning and implementation of professional development workshops, orientations, and/or other events; assisting with the creation of promotional materials; etc. 

Qualifications and Skills: 

  • Bachelor’s degree or equivalent work experience required, with at least 3-5 years of work experience; Master’s degree in Arts Administration, Social Work or related field and/or proven experience managing programs strongly preferred. 

  • Experience working with and within New York City Public schools and/or arts education/administration preferred. 

  • Excellent interpersonal skills – able to build rapport with, understand the perspectives of, and respond to the concerns and needs of Teaching Artists, DOE educators and administrators, nonprofit staff, students, and families.

  • Excellent written and oral communication skills, including email, telephone, and in person communications. Ability to write well and in a variety of formats, from reports to marketing materials.

  • Flexible worker and thinker; creative problem solver; independent, organized, and able to manage multiple competing priorities and time-sensitive tasks. 

  • Proficiency with Microsoft Office suite. Experience with the Adobe Creative Suite a plus.
